AirDNA: 6 Things That Matter Less Than You Think, According to the Best Property Managers

What It Says

AirDNA analyzed performance data from its 2026 "Best Property Managers" ranking—specifically focusing on the top 25 operators managing over 100 U.S. listings—and compared them against other U.S. hosts with five or more listings. The study reveals that several widely accepted "best practices" do not actually differentiate top-performing short-term rental (STR) managers from the rest of the market.

According to the report, the top 25 managers do not succeed by charging higher rates; their nightly pricing is just 1% above comparable local listings. Instead, their revenue advantage comes from achieving higher occupancy. Additionally, these elite managers are split on using Instant Book, rarely use flexible cancellation policies, rely less on static weekly/monthly discounts, avoid novelty properties, and maintain smaller, higher-quality portfolios than other large-scale operators.

Why It Matters

As portfolios scale, maintaining quality becomes incredibly difficult. AirDNA's data shows that while 55.9% of single-listing hosts hold a guest rating of 4.9 or better, that share plummets to just 0.6% for portfolios with more than 500 listings.

For property management companies (PMCs) and technology vendors, this brief highlights where operational drag can be eliminated. Instead of constantly tweaking settings like cancellation policies, static discounts, or chasing novelty inventory, operators should focus their resources on execution: dynamic pricing, occupancy optimization, and high-touch guest services.

Useful Signals

  • The Occupancy Premium: The top 25 managers generate superior revenue not by commanding premium rates, but by filling more nights. Their median nightly rate is $424 (skewed by larger homes), but compared "like-for-like" with local comps, they price only 1% higher.
  • Instant Book Division: Top operators are highly divided on Instant Book (7 use it on almost no listings, while 12 use it on almost all). Across the board, Instant Book yields 4% more RevPAR but correlates with slightly lower guest ratings.
  • The Death of Flexible Cancellations: While strict cancellation policies are standard (used on 39% to 44% of listings across all host groups), the top 25 almost entirely avoid flexible terms (using them on just 1% of listings). Flexible terms correlate with a 12% drop in RevPAR.
  • Dynamic Pricing Over Static Discounts: Smaller hosts (5 to 9 units) offer weekly and monthly discounts on roughly 60% of listings. The top 25 only offer them on 43% (weekly) and 32% (monthly) of listings, choosing to adjust baseline rates dynamically to meet demand.
  • Novelty Properties Underperform: Unique stays and B&Bs account for less than 0.5% of the top 25's portfolios. While they get slightly higher ratings, they generate approximately 25% less revenue per available night than comparable traditional homes.

STR Tech Report Take

This report highlights a critical shift from passive platform settings to active revenue management. For STR technology vendors, the data suggests that software features enabling automated, static discounts or rigid cancellation rules are less valuable to high-performing PMCs than robust dynamic pricing integrations and occupancy-driving tools.

The sharp decline in guest ratings as portfolios grow (dropping from an average of 4.85 for small hosts to 4.71 for managers with over 100 listings) represents a massive opportunity for hospitality tech. Property managers do not need more listings to win; they need the operational tech stack—such as automated guest communication, smart scheduling, and quality control platforms—to maintain boutique-level quality at scale. As AirDNA's Camilo Schmid Rivas notes:

"The differences that hold up across the top 25 sit in how listings are run..."
