At the VRMA International conference in Nashville, Thibault Masson (Head of Product Marketing at PriceLabs) and Michael Vialpando (Renjoy) hosted an interactive workshop using a four-stage AI maturity scorecard. The session revealed that most property management companies currently score at Stage 2 ("Capable") across key business functions, with some reaching Stage 3 ("Adoptive") in select areas. No participants claimed to have reached Stage 4 ("Transformative").
The scorecard evaluates six core operational functions: Supply, Operations, Guest Experience, Owner Relations, Finance, and Revenue Management. The transition from Stage 3 to Stage 4 is defined not by upgrading technology, but by establishing business rules that allow the AI to execute tasks autonomously while humans shift to managing those rules.
Why It Matters
For short-term rental (STR) operators, understanding AI maturity prevents over-investing in complex tools that the organization is not ready to support. It shifts the focus from chasing "hype" to establishing operational rules that unlock true automation. For STR technology vendors, this framework highlights a massive market need: operators require software that helps them transition from manual oversight (Stage 3) to rule-governed autonomy (Stage 4), rather than just standalone AI features.
Useful Signals
- The "Build vs. Wait" Divide: Two distinct camps have emerged. Technical operators are building custom AI layers using APIs and platforms like Claude or ChatGPT, while non-technical operators are waiting for their Property Management Systems (PMS) to launch native AI agents.
- The Stage 4 Bottleneck: Moving to full automation is an organizational challenge, not a technical one. For example, a maintenance system moves to Stage 4 only when the operator programs a rule (e.g., "automatically approve repairs under $200").
- AI Revenue Tools are Stage 3: Advanced tools like PriceLabs' Athena analyze data and suggest pricing, but because they still require a human to approve and push those rates live, they remain firmly at Stage 3.

This scorecard is a highly practical diagnostic tool for the STR industry. It strips away the marketing noise surrounding AI and forces operators to look at their actual workflows. Technology vendors should take note: marketing an "AI-powered" feature is no longer enough. To win market share, vendors must build tools with robust, customizable rules engines that empower property managers to safely hand over the reins of daily decision-making.
